Add New Users on Holocene

Holocene now gives you full power on your user data. Our improved User Configuration Tab empowers you to invite colleagues and assign them different roles, enhancing your user management capacity.

Adding a User

Start by navigating to the settings tab in Holocene. Here, click on roles and permissions.

Click on Users & Permissions . This opens a library of all users and their current permissions. It also provides configuration for automation, ensuring workflows assign automatically to users.

Step 1: To add a new user, just click on the Add button.

This allows you to invite them via email and select their permissions.

Please bear in mind that each user needs to be invited from the corresponding module:

  • Purchase — for Inbound Operations

  • Sales — for Outbound Operations

This will open the user invitation and configuration, where you can select how the user can interact with the deliveries, and how will they get the right workflows assigned to them.

Step 2: Input email address of user you wish to invite and include desired screen name.

Step 3: Assign Roles from the drop list, that will configure how the user interacts with the deliveries on the platform:

This is especially critical as it will define how workflows are assigned to the user and the way they can interact or modify specific deliveries.

For instance, operational roles will be able to modify all or only designate sections of the delivery:

  1. Logistics

  2. Warehouse

  3. Customer support

These can be set by the Manager Role, with permissions to:

  1. View deliveries across all roles and permissions;

  2. Invite new users directly from the Settings' Roles & Permission page;

  3. Defines permissions and roles;

  4. Delete users, automatically reassigning their deliveries to them so they can distribute to new or existing users.

Assigning Workflows

Step 4: Select the countries that the user handles. Deliveries for this destination and its specific workflow will automatically be assigned to this user.

Step 5: Choose the mode of transport. This ensures deliveries for certain modes of transport are assigned to the right users based on their expertise and the countries they manage.

Step 6: You can choose how deliveries get assigned. Select Assign deliveries to assign them automatically to users managing specific modes of transport and / or countries.

You can decide to manually assign deliveries, by deactivating assign deliveries.

Setting Permissions

Step 7: Depending on the role, Managers can assign permissions to different sections of Holocene. Feature-level permissions can be managed from the Permissions tab, allowing specific access to the Control Tower/Dashboard or limiting Settings page access.

Managers have visibility and permission across all configurations. However, for a colleague working with deliveries, you can select and deselect their permissions based on their responsibilities and tasks.

This feature is particularly useful when collaborating across teams. It also allows you to assign read or write permissions in different sections.

Permission Type:

  • Read: Allows user to access deliveries and observe information in specific fields. However, the fields appear as inactive, and modification is not available.

  • Write: Allows user to access deliveries and modify information in specific fields, depending on the permissions assigned.

Final Step:

Once you have input the desired criteria for new the user, finally click on Add to create it on Holocene.

You will be able to see the created user in your list with the status “invited” until the invitation as been accepted, along with all specific settings such as countries and transport modes.
