Create Personalized Workflows

In this guide, you will learn how to set up and customize your workflows on Holocene, so it can be as close as possible to your operational processes.

Step 1: From the main menu, navigate to the trade lane to begin workflow configuration. In these sections, you can:

  1. create your personalized workflow,

  2. set up Workflow automations,

  3. review email logs.

Step 2: First, select how orders are triggered. POs can be triggered based on:

  • inventory thresholds

  • purchase requisitions, or

  • approved POs

Step 3: This information can be sent via designated emails or by your ERP via API. Just click on Receive Approved PO and insert the designated emails or select API information.

Step 4: Define who sends the order acknowledgement by Selecting the role: Buyer view only, Category Manager, Inbound Logistics.

or inputting the user emails responsible for issuing order acknowledgements. Ensure everyone receives the right notifications.

Step 5: You can start building distinct workflows for Inbound Deliveries according to each Incoterm. Start by selecting your required Incoterm.

Step 6: Choose the transport type and assign transport responsibility:

  • Self handled,

  • Logistics supplier, or

  • nominated forwarder

Workflows will get created in the inbound delivery module according to these settings.

Click Save and Next to continue.

Step 7: Add all required documents for each Incoterm, such as import/export declarations, pro forma invoices, and so on—tailored to each Incoterm.

Step 8: Automate customs broker emails for clearing by activating this option.

Step 9: Enable warehouse actions such as quality checks and post-goods receipt processing at the warehouse for auto-send in case of ERP Connection.
